Summary: The Board of Trustees previously approved, and the District has undertaken the facilities project known as the Liberty High School Project, which consists of the construction of a new high school facility.

During its June 19, 2019 meeting, the Board of Trustees ratified the contract with Pierre Landscape, Inc., in the amount of $3,163,821, for all services related to landscaping to include irrigation, grading and grounds preparation, booster pump installation, turf and landscape installation, trees and shrubs plantings and other tasks related to general site landscaping.

As the Liberty Project has moved toward opening for students for the 2021-22 school year, the District has requested a change from hydro-seed turf grass to rolled sod in approximately 400,000 square ft of landscaping. This change to sod turf will include the baseball and softball fields, the soccer field, and the entire sports field complex used by athletics and PE on the Liberty Campus.

The change to sod is necessary to shorten the establishment period from a couple of months to a couple of weeks. This will ensure students are able to access these fields immediately. This is a benefit to the campus as the work associated with the fields has been delayed due to the final landscape water connection, which will bring landscape water from Eastern Municipal Water District to the campus landscape.

In addition to the change from seed to sod, the District also directed Pierre Landscaping to change landscape areas at the rear of the campus that were going to be installed as natural turf. These areas will be changed to decomposed granite and low water usage planting. This will help conserve water for the site and will need less maintenance than natural turf. The work outlined in Change Order No. 02-004 is necessary to provide planted turf fields to students sooner at Liberty and provide low water usage and easier landscape maintenance on the Liberty Campus. The cost for this change is to be included in Change Order No. 02-004 for Pierre Landscape, Inc. in the amount of $387,175.92.

This is being brought forth as ratification due to the need to coordinate changes from seed to sod on Liberty High School’s athletic fields as well as the procurement of planting material and sod for the areas outlined in this change order. Ratification was necessary to ensure the sod farm had enough material for this change in time to install once the water connection was ready.
Funding: The cost for this item is included in the 2021-22 operating budget funded through Various Facilities Funds, not the General Fund.
Recommendation: It is recommended that the Board of Trustees ratify Change Order No. 02-004 for Bid Category 40 - Pierre Landscape, Incorporated for the Liberty High School Project.
